Privacy Policy
Privacy should be part of the workflow.
This overview describes the information IntakeTrace handles, why it is used, and the practical responsibilities that stay with your business.
Information you provide
When you create an account or use the service, you may provide your name, email address, business details, intake notes, photos, labor entries, parts, acknowledgments, and receipt information. Contact form messages are stored so the IntakeTrace team can respond.
How information is used
We use account and workspace information to provide IntakeTrace, authenticate users, protect the service, support the workflow, respond to contact requests, and maintain billing and account records. We do not sell your information.
Security and access
Accounts use email/password authentication with email verification. Workspace data is scoped to signed-in accounts and protected API routes. Keep in mind that no online service can promise absolute security; use good credential hygiene and only upload information your business is allowed to process.
Your responsibilities
You decide what customer information and images to enter, must have the right to collect and use them, and should follow the privacy, retention, and security rules that apply to your business and location.
Questions and requests
For privacy questions or account requests, contact intaketrace@polsia.app. Include enough context for us to identify the account or request without sending passwords or sensitive credentials.
